1. How much is the Rent?

Rental usage fees are set by the Board of County Commissioners and vary according to the facility requested, the type of event, and the amenities used. Please call the Event Center at (620) 624-3743 for more information.

2. What is required to book my event?

The requirements for booking an event are a booking deposit, proof of insurance, and a signed contract.

Call the Business Office at (620) 624-3743 for available dates.

3. What days can I have my event?

Events can occur 7 days a week throughout the year excluding during the Seward County 5 State Fair (usually the beginning of August each year) and the following Holidays;

4. Is there a time limit to my event?

Yes. All indoor events must conclude by 1:00 am – NO EXCEPTIONS. Due to City Ordinance, Outdoor events must terminate by 10:00pm on weeknights and 11:00pm on weekends. *(Weeknights are defined as Sunday through Thursday. Weekends are defined as Friday and Saturday to avoid monetary penalties and possible termination of event.)

5. What is a Booking Deposit?

A booking deposit may vary, depending on the facility you request and the type of event you are having. A booking deposit guarantees to you and to us that date is available for you.

6. Are booking deposits refundable if I cancel my event?

Yes, according to the schedule listed on the Contract, if the Booking deposit is received as required.

7. What other fees are required to have an event?

Besides the *Booking Deposit, you will be required to pay a *Cleaning/Damage Deposit.
(*deposits vary according to event type) and a Usage Fee (rent).

8. How are the cost(s) of Damages determined?

Costs for damages are the actual “replacement” cost(s) of the item(s) plus any labor, shipping/handling charged for the repair/replacement.

9. Will I be held responsible for other charges?

According to County Use Contracts, additional charges may be assessed to LICENSEE. Items included, but not limited to, may consist of any equipment, tools and other County property used, borrowed or taken, replacement value (with bid provided) for any missing or damaged items (including rugs, carpets, fixtures, etc), cost for utilities (prorated at 1 day rate) for leaving lights, heat and/or air, disposals, etc, turned on, burns and/or irreparable damage to carpet/floors during the time LICENSEE has access to the property.

10. When do I need to pay?

All deposits and fees are due 7 business days prior to your event to avoid cancellation of your event. (If the event is cancelled due to non-payment no refunds will be issued.)

11. What form of payment do you accept?

Personal check, Money Order, Bank Draft, Cash. We do not accept Credit Cards.

12. Why do I need proof of Insurance for my event?

A certificate of Liability Insurance is required by the Board of County Commissioners of Seward County. The insurance helps protect you and your personnel assets in the event of an incident/accident during your event. (*Liability Insurance is not required for a Business Meeting in the Meeting Room(s)

13. Where do I get the required Insurance?

You may obtain the Certificate from most Insurance companies. We will provide you with a letter you may present to your Insurance Company explaining our requirements and offering our assistance in answering any questions your Insurance Company may have.

14. Is the cost of the insurance covered in my Rental fee of the facility?

No. The cost of the Insurance may vary by carrier and is no way included in the costs of renting our facilities.

15. What about Law Enforcement for my event?

Certain events require the presence of the Seward County Sheriff Reserves. Events include, but not limited to, Dances, any event with Alcohol, Circus, Carnival, Concerts, Animal events, Rodeo, Races, large crowd events.

16. What if I want additional Security?

You may hire, at your expense, extra “Security” for the purposes of “security” only. However, only the Seward County Sheriff Reserves may act as Law Enforcement.

17. How do I get the Law Enforcement I need to ensure the safety of my guests?

We will give you the information to contact the local Sheriff Reserves to arrange to have the Licensed, Bonded, Law Enforcement on hand at your event. You are responsible to make the arrangements with Law Enforcement.

18. Who pays for the Law Enforcement services?

You, the Licensee, are responsible for payment to the Officers. The Officer will let you know the charges when you contact them.

19. How many Officers are required for my event?

Usually at least two. If attendance exceeds 400 persons, one additional Law Enforcement Officer will be added for every 200 persons over 400. The total number of Officers is at the sole discretion of the Law Enforcement Agency.

20. Can I decorate for my event?

Yes. Certain guidelines apply to certain facilities. (Be sure to check before purchasing items)

21. How long do I have to set up for my event?

You will have one (1) day of set-up and one-half (1/2) day of tear-down/cleanup at no charge, for each day the facility is rented. An additional $20/hour will be charged beyond that time frame.

22. Can I sell/serve Alcohol at my event?

Yes, if so designated on the Contract, and subject to your compliance with all applicable local and state ordinances and laws governing same including Sunday sales per KSA 41-2704. If cereal malt beverages or alcoholic beverages are sold and/or served, it must be consumed inside the rented facility.

23. What if I want to sell Alcoholic Beverages at my event?

With a signed Contract allowing the sale of Alcoholic beverages, you must complete an Application for Temporary Permit. abc-253

24. What other restrictions should I know in advance?

Restrictions include;
NO Glass, bottles and/or items used for decorations, is permitted in the Main Event Hall or in the AG Building during Dances/Receptions with or without Alcohol.

No items should be attached to walls without permission of the Director.

No Fog, Smoke, Vapor/Dust/Cloud emitting machines are permitted in the Event Center Main Hall for any event including Dances and Concerts. The vapors may cause the Fire Alarm System/Sprinklers to be activated.

Smoking is prohibited in all Facilities owned, or leased by Seward County, including, but not limited to Offices, Hallways/Lobbies, Restrooms, Meeting Rooms, Grandstands, Main Hall(s), and all Community areas.

25. Are camping facilities available?

Seward County does not provide camping facilities. There are two camping parks near the city. However, travelers passing through may park nightly at the RV hookups on the Fairgrounds. Payment may be made during office hours or left in the drop box on the north side of the Event Center. Hook up prices are as follows;
Electric only - $10.00 per night
Water & Electric - $15.00 per night
Water, Electric, Sewer - $20.00 per night
